Pre-Planning Phase

  • Understand the purpose: (corporate, cultural, wedding, product launch, etc.)

  • Fix a budget

  • Create a checklist of tasks, vendors, and timelines

  • Choose a date & venue

  • Take required permissions (if public venue)

2. Vendor Coordination

  • Book:

    • Venue

    • Sound/Light team

    • Videography team (your V Group)

    • Anchor/Artist

  • Finalize all contracts in writing

3. Creative & Promotion

  • Design: Invitation, banners, social media posts

  • Create: Promo reel, countdowns, teaser videos

4. Team & Role Distribution

  • Assign team for:

B. HOW TO MANAGE THE VIDEO SHOOT (V-SHOOT)

1. Pre-Shoot Planning

  • Prepare a shot list (entry, stage, crowd, VIPs, interviews, performances)

  • Assign camera crew roles:

    • 1 main cam (stage)

    • 1 roaming cam (crowd, side shots)

    • 1 wide cam (static)

    • Drone or gimbal (if needed)

  • Prepare gear: batteries, tripods, audio mics, gimbals, etc.

2. Live Shoot Execution

  • Reach early for setup

  • Record B-roll before event (venue, banners, decor)

  • Ensure good audio — lapel mics, ambient recording

  • Shoot in different angles (crowd reactions, artist close-ups)

  • Cover backstage, anchor bites, feedbacks

3. Post-Event

  • Take testimonials or short interviews

  • Collect footage in organized folders (Day, Camera A/B, Audio)

  • Backup footage

  • Start editing:

    • Highlight Reel (1-2 min)

    • Full Event Video
